Business Challenges

A non-profit organization developed a website to showcase all of the reasons why they were a worthy cause. To increase their revenue they wanted to sell engraved bricks for a local park walk. Taking orders by phone and fax was cumbersome, error prone and was not conducive when the time came for donors to place orders. They sought a more time-efficient and effective method for submitting orders.

The Whitlock Solution

    • Whitlock built a retail store website to sell bricks that were installed at the park.

    • Keepsake bricks that were sent out as gifts and a variety of membership packages were also offered.

    • A link was placed on the non-profit’s main site to the retail store. Once at the retail store, the donor can view the selections, fill out a template, view a PDF showing exactly how their brick will look and then simply approve and place the order.

    • A list of possible brick messages were listed for convenience.

  • All transactions are paid for online by credit card.
After the sale Whitlock’s data processing department sends out a letter of thanks to the donor or if it is a gift an announcement letter signed by the president. The envelope also includes a color facsimile of the brick printed to replicate how the brick will be engraved.
After the brick is installed a second letter is sent out to the donor with a brick map so that they can locate their brick when visiting the park.

 

Result/Impact
Orders soared. The electronic retail store gives the brick program presence on the web and makes the offer far more appealing. The follow up letters with the thank you and the facsimile brick encourage others to buy and the brick map letter is just one more reminder that this is a good cause.

Business Challenge

A tier one automotive supplier with more than 40 plants across the United States was ordering labels, forms and tags on a plant-by-plant basis. This led to:
    • constant out-of-stock problems

    • lack of commonality in form design from one location to another

    • Whitlock went on a plant discovery tour, collected all printed materials.

    • Consolidated like items and recorded usages.

  • Utilizing Whitlock’s online tool we built an custom website and populated it with all items that included a thumbnail (photo of the form) with each part description.
All locations can now order from the same catalog 24/7 from any computer. The system will also record the pre-loaded SHIP TO and COST CENTER as the order is placed and charge the order to the appropriate credit card.

Result/Impact

This solution generated some impressive results:
    • Cost savings. The company saved 27% in the first year, with a 98.5% on-time delivery record!

    • Time savings. The estimated time savings system-wide is two to three hours per week per plant and an additional ten hours per week at the administrative level. That is a savings of 6,000 to 7,000 hours per year.

  • Reduced inventory levels. Additionally, now that all items are stored at a central warehouse and shipped as needed, perpetual inventory levels are estimated to have dropped by almost 80%.

A well-known financial institution was having a difficult time getting their reporting documents mailed to their investors on time. Financial documents are extremely time sensitive and must be delivered by certain dates that are dictated by law.

Whitlock began working with this client as the fulfillment and mailing agent. We relied on the client to deliver four color brochures, envelopes, variable data documents, and in some cases, a distribution check so that we could assemble and mail. All of the components were being delivered to Whitlock from different sources. A furniture retailer had an ever-changing mailing list and needed a way to target specific clients along with its regular monthly mailings.


The Whitlock Solution

Whitlock’s Data Processing department specializes in mailing list and data management at many different levels. With over 25 years of experience and use of the latest postal software we were able to obtain the best postal rates and provide the following program to this client:
    • We maintained the monthly mailing list for this client with regular updates and customized sorting by preferences, age and location.
    • Utilized offset printing for the high volume, monthly product introduction mailings.
    • Compiled responses from initial monthly mailings. From these responses we customized a 2nd monthly mailing, embedding the recipient’s name and color preference throughout the piece.
  • Printed the low volume, targeted pieces on Whitlock’s variable data printers at an affordable cost.

Business Challenge

A retailer with 4,400 locations in 16 states was slated to run a promotional item campaign for five weeks from Thanksgiving through Christmas. The goal of the campaign was to generate a spike in sales volume during the five week period and establish a buying habit for a new crop of customers for the long-term.

The challenges were many:
    • A promotional item had to be selected that would stay fresh for five weeks and entice customers to come back again and again.
    • The product had to be packaged in such a way that it became an instant point of sale display and could be easily shipped.
  • Since this was a five week program for 4,400 locations, shipping was a major consideration.

The Whitlock Solution

    • Whitlock’s design team developed a series of holiday ornaments.
    • A different ornament was offered each week with a minimum purchase at a very reasonable price.
    • The entire five week promotion was packaged in one master carton. Inside of the master carton were five point of sale displays (one for each week), as well as additional materials to be displayed throughout the store.
    • Whitlock's IT team developed a program that determined how many master cartons each location would receive.
    • Most locations received between two and five masters and to maintain uniformity, all packages were shipped within two days.
  • Whitlock also maintained a supply of master cartons in its warehouse throughout the promotion and shipped same day to stores that were low on inventory.

Result/Impact

The campaign was an overwhelming success that ran for five years. Store sales had a clear spike in volume during the promotion.

Since the entire five week program was shipped in one master carton, it eliminated confusion and dramatically reduced shipping costs.

Retail Case Study #3

Business Challenge

A software manufacturer has 40 dealers throughout the United States. Every quarter they mail 250,000 direct mail pieces. Every dealership has its own mailing list and the printed materials are printed separately for each location. All 250,000 pieces were mailed at the same time. Unfortunately, the dealers weren't able to provide the necessary support to handel the positive reaction to their mailing and, in turn, lost business over the next 10 weeks as a result.

The Whitlock Solution

Whitlock’s data team merged all 40 lists.
  • We divided the list into 12 lots and mailed one lot per week for 12 weeks.
 
  • This gave the sales teams at the dealerships an opportunity to talk with all phone inquiries and visit all serious prospects.
 
Rather than print a customized piece for each of the 40 dealers Whitlock designed a generic mailer and utilized smart technology (variable data printing) to customize it for each dealer.

Result/Impact

    • Waste Reduction. Product waste was eliminated utilizing a generic mailer and variable data printing.
    • Cost savings. The cost save was 40%

A transportation company with 300 employees and 43 offices in 37 states did not have a centralized system for printing. Each office ordered business cards, letterhead, envelopes and a variety of forms on their own. Corporate identity for color, content and layout were not standardized.


The Whitlock Solution

    • Whitlock’s graphic design department developed a corporate identity standards guideline manual for printing.

    • Whitlock’s Data Processing and e-Commerce departments built a custom online website that allowed all employees to order variable data and static items from any computer 24/7.

    • Variable data items like business cards, letterhead and envelopes are ordered through an online template. Just fill out the template, view and approve the PDF, select an order quantity and place the order.

  • The entire process takes less than five minutes with the first order and utilizing the "look-up history" feature takes less than a minute for re-orders.

Utilizing Whitlock’s online tool a virtual custom catalog was built showcasing all printed items. As part of this solution, Whitlock also implemented the following steps:
Re-order notices are automatically sent when inventory hits pre-determined levels, which mitigates the chance the client will be caught without inventory and gives the client a clear picture of usage.

For most items, PDF proofs have replaced traditional paper proofs, which saves not only costs but also time.

Administrators can have complete control over the order and release process with a multi-tiered approval process, customizable to the client’s needs.
Real-time inventory reports are available 24/7 from any web browser allowing the client to manage their account as their location and time allows.

Result/Impact

With these efficiencies created, the client not only met but exceeded their cost-saving goals. Specifically, our approach resulted in the following:
    • Whitlock now stores all printed items and picks, packs and ships daily.

    • The hospital closed its warehouse and reallocated all warehouse personnel to other positions.
